FABTECH Exhibitor Guide: Plan a Live Machine Demonstration in Chicago

A machine that looks convincing in a sales video can become a different project once it must run inside a trade show booth. FABTECH 2027 already has a date and city, but many of the rules that determine whether your demonstration can operate have not yet been published.

This guide separates what an exhibitor can confirm now from what must wait for the 2027 exhibitor manual. It is written for a manufacturing technology company deciding whether to exhibit and preparing a machine-led booth for Chicago.

FABTECH 2027 at a Glance

The U.S. edition of FABTECH is scheduled for September 13–16, 2027, in Chicago, Illinois, at McCormick Place. Those details appear on the official FABTECH website. The distinction in the last row matters. Conference sessions, workshops and keynotes may strengthen the trip, but they are a separate program. Do not use a conference track as proof that a particular product category will receive a defined position or audience on the exhibition floor.

What FABTECH Covers—and Where Your Product Must Fit

FABTECH describes itself as North America's largest event for metal forming, fabricating, welding and finishing. The current official website organizes the show floor around Forming & Fabricating, Automation, Welding, Finishing, Job Shop, Stamping & Press Automation, and Tube & Pipe pavilions. A separate current FABTECH exhibit-space site also presents Artificial Intelligence as a technology category.

That difference is a reason to wait for the 2027 floor plan, not a reason to guess. Your first application brief should name the manufacturing problem your product solves and the process it touches. A generic label such as “industrial equipment” gives the sales team little basis for placing the company in the right audience path.

For example, a robotic welding cell may involve both Welding and Automation. A press-feed system may belong with Stamping & Press Automation even if its controls use AI. Ask the FABTECH sales contact to confirm the primary category and any secondary directory categories in writing. The answer will affect booth location, neighboring exhibitors, directory filters and the comparisons visitors are likely to make.

Use the Latest Chicago Audience as a Benchmark, Not a Forecast

The most recent completed FABTECH in Chicago was held in 2025. Its official post-event report lists 41,795 in attendance, 1,702 exhibitors and 889,905 square feet. These are 2025 results, not promises for 2027.

The composition is more useful than the headline size. In the report, job shops and contract manufacturers represented 47% of company type, while OEMs represented 15%. Owner, company management and corporate executive roles accounted for 25% of job function; manufacturing engineering and design engineering accounted for 19%.

For an equipment exhibitor, that mix supports a practical conclusion: your booth should help both a business decision-maker and a technical evaluator reach the next question. A management visitor may begin with throughput, labor availability or payback. An engineer may want part range, cycle conditions, controls, tolerances or integration limits. One oversized slogan will not serve both conversations. A running demonstration, a clear process boundary and accessible technical proof can.

Before committing, write down the comparison you want a qualified visitor to make. If the product cannot be evaluated on the floor and the target account list is weak, a large machine-led exhibit may not be justified by event size alone.

Enter Through the Official Exhibit-Space Route

The official Exhibiting at FABTECH page is the starting point for requesting space and finding the sales team. FABTECH assigns sales contacts by technology area, so the company should submit its real process category, product description and demonstration plan rather than choosing a pavilion only from the public labels.

As of this review, the public space request, prospectus and rates still refer to the 2026 Las Vegas event. They do not establish a 2027 Chicago price, deposit, cancellation term or available booth. Ask the appropriate FABTECH sales representative for the 2027 application and current inventory. Treat a submitted inquiry as an inquiry until the organizer issues a contract and booth confirmation.

Prepare these inputs before that conversation:

  • product and manufacturing process;
  • preferred booth footprint and any open-side requirement;
  • machine footprint, weight and shipping configuration;
  • whether the exhibit is static, powered or fully operational;
  • utilities, exhaust, gases, fluids and waste produced during operation;
  • overhead or rigging needs;
  • the visitor role and comparison the demonstration is intended to support.

This list does not replace the official application. It prevents a simple space request from hiding a machine project that may need different placement, services or approvals.

Build One 2027 Control Sheet Across Five Official Sources

Once the booth is contracted, do not let the exhibit house, product team and freight forwarder maintain separate versions of the show rules. Create one control sheet with a source, owner, due date and proof of completion for every requirement.

1. FABTECH contract and Exhibitor Hub

The current FABTECH exhibitor resources route contracted companies to an Exhibitor Hub, exhibitor registration and an exhibitor manual. The current hub is used for company information, product categories, new products, press releases and booth payments. Recheck the 2027 hub before entering data; current edition links are not evidence that the 2027 system or deadlines are live.

2. FABTECH 2027 exhibitor manual

Use the 2027 manual for display rules, machinery restrictions, insurance, badges, official vendors, shipping labels and event deadlines. Record the document date or revision beside every rule that changes the booth plan. If a later revision changes a requirement, the drawing and order list must change with it.

3. McCormick Place service information

McCormick Place publishes venue-level exhibitor service guidelines, but it also tells exhibitors to use the organizer's kit for event-specific information. The venue identifies its Technology Services department as the provider for internet and telecommunications. The 2027 kit must still confirm the order path, deadlines, rates and any other exclusive services for this show.

4. The official general service contractor

The general service contractor normally controls key freight, material-handling, rental and installation information. FABTECH has not yet published the 2027 Chicago contractor and target schedule on the public pages reviewed for this guide. Do not address freight to an old advance warehouse or book labor against a 2025 target window.

5. Exhibitor-appointed contractor documents

If you use an outside exhibit company or another exhibitor-appointed contractor, watch for the 2027 EAC submission route, insurance language and deadline. FABTECH's current EAC page requires contractor and insurance information through the exhibitor dashboard, but its named-insured details belong to the current edition. Use the 2027 form when it is released.

Design the Booth Backward from the Demonstration State

Start with a one-page machine operations sheet before approving the booth concept. Record the machine's shipped size, operating footprint, weight, center of gravity, access panels, loading method and maintenance clearance. Then describe exactly what the visitor will see: a static machine, a dry cycle, a powered process or production with material.

The operating state determines the next questions. A machine that moves needs a controlled visitor boundary. A process that creates heat, sparks, dust, fumes, scrap or liquid needs an approved containment and removal plan. Compressed air, process water, drains, gases, electrical supply, data and exhaust must appear on the floor plan with their connection points. “Utilities required” is not enough for a service order.

McCormick Place assigns specific work to different trades. Its public contractor information places building electrical connections with electricians, plumbing and compressed-air work with plumbers, machinery positioning with riggers, and most freight movement with Teamsters. The current venue Exhibitor Bill of Rights also allows qualifying exhibitor employees to perform certain booth work while restricting their use of motorized or hydraulic equipment. Your final labor plan must reconcile those venue rules with the 2027 FABTECH manual and the assigned contractors.

Do not hide unresolved conditions inside a rendering. Mark them on the plan. A visually finished concept with an unconfirmed rigging point or exhaust path is still an unfinished operating plan.

Sequence the Machine, Exhibit and Freight as One Installation

A machine demonstration can fail even when every item reaches Chicago. The critical issue is arrival order.

Map the sequence from the dock to the first safe cycle:

  1. confirm the machine's packed dimensions, weights, lifting points and orientation;
  2. match each shipment to the official 2027 label and destination;
  3. align the target freight window with crew access and machinery positioning;
  4. place flooring, utilities and structures in the order the machine installation requires;
  5. allow time for connections, inspection, guarding, calibration and a controlled test;
  6. define who can authorize the first live visitor demonstration;
  7. reverse the logic for shutdown, disconnection, packing and move-out.

The 2027 advance warehouse address, direct-to-show instructions, marshaling process and target windows are not public yet. Leave those fields open in the control sheet. Never copy an old label because the venue is the same: contractor, hall, dock, dates and booth number can all change.

Keep the Conference Plan Separate from the Exhibit Plan

FABTECH promotes a conference program alongside the exhibition. For the current edition, sessions and workshops have their own tracks, registration and pricing. The 2027 program has not been published.

Use conference content to identify technical subjects and people your team may want to meet, but manage it as a separate schedule. A booth staff member registered for the show floor should not be assumed to have conference access. Likewise, a conference topic does not replace a product demonstration, directory category or meeting plan on the show floor. Confirm 2027 access and prices through the official conference page when registration opens.

What to Review When the 2027 Manual Appears

Hold a formal release review as soon as the 2027 exhibitor manual and service kit become available. Do not send the links around with a request for everyone to “check their part.” Read the documents against the existing control sheet and resolve the following items together:

  • machine operation, guarding, noise, fire and safety approval;
  • electrical, internet, air, water, drain, gas, exhaust and cleaning orders;
  • EAC notice, insurance certificate wording and submission deadline;
  • advance warehouse, direct-to-show and target move-in instructions;
  • machinery handling, rigging, installation and dismantling responsibility;
  • directory, new-product, badge and marketing deadlines;
  • show hours, exhibitor access, move-out release and carrier procedures.

Any item that changes the machine footprint, operating state or service location should reopen the booth drawing. A paid booth does not make an unapproved live process feasible.

Is the FABTECH 2027 exhibitor manual available now?

No public 2027 Chicago exhibitor manual was found during the September 7, 2026 review. The official site confirms the dates and Chicago location, while its active exhibitor resources still serve the current edition. Ask FABTECH Exhibitor Services for the release path, then recheck the official resource page before design approval and again before ordering.

Which FABTECH category should a product with more than one process use?

Choose the category that matches the primary manufacturing decision the visitor will evaluate, then ask the assigned FABTECH sales representative about secondary directory categories. A robotic cell, for example, may touch Automation and Welding. Written confirmation is more reliable than choosing from a prior floor plan because the 2027 category map is not yet public.

Can our employees install the booth at McCormick Place?

McCormick Place's current Exhibitor Bill of Rights allows qualifying exhibitor employees to perform specified work in booths of any size, but it defines who counts as an exhibitor employee and restricts certain equipment. The 2027 FABTECH manual may add event-specific procedures. Review both documents before assigning work; do not assume a visiting distributor or temporary worker qualifies as your employee.

Are FABTECH conference sessions included with an exhibitor badge?

Do not assume they are. FABTECH presents the conference as a separate program, and the current edition uses separate session and pass options. The 2027 program and registration terms are not public yet. Confirm access for each team member after the official 2027 registration package is released.

Who should confirm internet, electrical power and compressed air?

Use the source that controls each service. McCormick Place identifies its Technology Services department for internet and telecommunications. Venue electricians and plumbers handle defined building connections, while the event manual and official contractors provide show-specific forms and deadlines. Put the responsible provider and current order link beside every connection on the utility plan.

Final Planning Decision

FABTECH 2027 is confirmed for September 13–16 at McCormick Place, and the latest Chicago audience shows a substantial mix of job shops, company leaders and manufacturing engineers. That makes the event a credible candidate for companies whose equipment benefits from live, side-by-side evaluation. It does not make every machine demonstration practical.

Before committing the booth design, approve the product category and demonstration state. Then keep every unconfirmed 2027 requirement in one control sheet tied to the official manual, venue information, contractor instructions and written organizer answers. The most useful plan today is not a finished rendering. It is a plan that can absorb the 2027 rules without forcing the machine, freight and exhibit teams to start over.
