A utility operator, engineer, consultant, or distributor should be able to see what problem your product solves and what evidence supports it. This guide separates the confirmed 2027 facts from the details that still require an official update.
WEFTEC 2027 at a glance
WEFTEC is the Water Environment Federation's Technical Exhibition & Conference. The organizer describes the event as a forum for knowledge and technology exchange across the water and wastewater fields. The 2027 edition will be the 100th Annual Technical Exhibition & Conference.

Understand the exhibition before you choose the booth
The exhibition serves the water sector rather than a single product niche. WEFTEC's current event material describes a floor with treatment technologies, equipment, services, digital systems, and practical solutions for water challenges. Its audience spans utility and industrial engineers, operators, consultants, managers, regulators, scientists, distributors, and other water professionals.
That breadth is useful only when your team can name the conversation it wants. A pump manufacturer may need to prove duty conditions and service access. An instrumentation company may need a live data view that an operator can interpret quickly. A treatment technology provider may need to explain influent conditions, process limits, energy use, residuals, and the evidence behind performance claims. An engineering or software company may need a short workflow that connects a technical feature to an operating decision.
The current WEFTEC site says the event brings together more than 23,000 water professionals each year and features more than 1,000 exhibitors. Those are organizer-level descriptions of the event, not promised 2027 attendance or a forecast of booth traffic. Use them to understand the scale of the environment, then use the 2027 exhibitor directory and program—when released—to judge whether your target roles and competing solutions will actually be present.
Decide whether your offer belongs on the WEFTEC floor
Your first decision is not booth size. It is whether the product belongs in the problems WEFTEC visitors are trying to solve.

WEFTEC is a strong research candidate when your offer relates directly to wastewater treatment, drinking water, water reuse, collection systems, stormwater, industrial water, solids handling, process equipment, monitoring, automation, engineering, operations, or resource recovery. The fit becomes stronger when a visitor can inspect a physical component, compare operating data, watch a meaningful demonstration, or discuss a defined project condition.
The fit is weaker when the link to water is only incidental or when the booth cannot show more than a broad sustainability claim. In that case, a large audience does not solve the targeting problem. Review the 2027 product categories, floor plan, exhibitor list, and education topics before you commit. Those materials will show how the organizer classifies your offer and where visitors are likely to look for it.
Ask four questions internally:
- Which water process or operating problem does the product address?
- Which role needs to understand it first: an operator, design engineer, utility manager, consultant, regulator, channel partner, or industrial user?

As of September 7, 2026, WEFTEC has announced that 2027 General Sales will open on December 1, 2026. The public application FAQs and application portal still describe the 2026 edition, so the 2027 rates, payment terms, cancellation terms, booth assignment dates, and license agreement cannot yet be treated as published.

Use this sequence once the 2027 application becomes available:
1. Prepare the company and exhibit brief
Record the legal exhibiting entity, primary contact, product family, preferred space range, demonstration needs, expected utilities, heavy equipment, and any related company that may share the booth. This is the information that exposes eligibility, space, and operating questions before they become change orders.
2. Enter through the official WEFTEC sales route
Monitor the official exhibition page for the 2027 application. WEFTEC's current system distinguishes companies with a booking code from first-time exhibitors or companies without a code. The 2027 portal may retain or change that structure, so use the live instructions when sales open. For unresolved eligibility or access questions, the official site lists WEFTEC Exhibition Sales at WEFTECSales@wef.org.
3. Treat the application as a request, not an assignment
The current application process allows exhibitors to state size and location preferences, but WEFTEC makes the booth assignment. Do not approve a final floor-specific design, hanging plan, or utility routing until the 2027 confirmation and floor plan identify the actual space.
4. Move the project into the Exhibitor Resource Center
WEFTEC currently uses an Exhibitor Resource Center, or ERC, for deadlines, rules, registration, official services, marketing tools, and Exhibitor Appointed Contractor tasks. Confirm the 2027 ERC address rather than reusing a 2026 bookmark. Give access to the people who own finance, booth operations, registration, logistics, and technical approvals; keeping everything with one marketing contact makes missed tasks more likely.
5. Build one deadline register from the 2027 documents
Once released, combine the license agreement, deadline page, rules, Exhibitor Service Manual, official contractor list, McCormick Place orders, insurance instructions, EAC process, and move-in schedule. Assign every item to one owner and retain confirmation numbers. The organizer's deadline page and ERC should control the dates; an old project schedule should not.
Design the exhibit around technical proof
Water-sector exhibits often become difficult because the product needs more than standard lighting and a monitor. Pumps, valves, blowers, tanks, skids, membranes, analyzers, pipes, chemical feed equipment, and treatment demonstrations can introduce weight, water, drain, compressed air, power, rigging, safety, or waste-disposal questions.
Start with the proof a visitor needs, then identify the service behind it.

Wait for the 2027 rules before freezing these decisions
The publicly accessible WEFTEC exhibitor resources are still written for 2026 in New Orleans. They show the kinds of controls WEFTEC uses, but they are not the 2027 Chicago rules.

The 2026 rules require flooring in most booths and identify features such as hanging signs, enclosed or multi-level structures, heavy equipment, compressed gases, hazardous materials, vehicles, and certain effects as restricted or approval-sensitive. Those examples are valuable prompts for a design review. Their thresholds and submission dates must be replaced by the 2027 rules before the booth is released for production.
Plan for McCormick Place without guessing the event rules
McCormick Place adds the venue layer to the WEFTEC requirements. Its exhibitor guidance assigns work such as electrical connections, plumbing, machinery positioning, and freight handling to defined service trades. It also tells exhibitors to use the show organizer's event-specific manual for suppliers, ordering, and move-in information.

For a water technology exhibitor, that makes the technical floor plan a working document rather than a decoration. Mark the exact location of every electrical load, internet drop, water connection, drain, compressed-air point, tank, skid, machine, and overhead element. Add equipment weights and the route required to place or remove them. Submit the drawing in the format requested by the 2027 manual and the applicable contractor.
Also separate three responsibilities in your schedule:
- The general service contractor handles the services assigned to it in the WEFTEC manual, which may include freight, material handling, furnishings, or booth labor.
- McCormick Place provides or controls venue services identified in its ordering system and facility rules.
- Your Exhibitor Appointed Contractor, if permitted and registered, performs only the work allowed under the event and venue requirements.
The 2027 official contractor list will determine the final division. Do not assume the 2026 contractor, order form, advance warehouse address, or discount deadline will carry forward.
Keep the conference and exhibition plans separate
WEFTEC includes a technical conference as well as an exhibition. In 2027, the conference begins on September 25, while the exhibition begins on September 27. A booth application secures an exhibition route; it does not submit a workshop, technical session, abstract, or other education proposal.
If your company wants both a booth and a place in the education program, run two workstreams. Exhibition Sales and the ERC govern the exhibit. WEFTEC's call-for-content pages govern workshops and technical sessions. Each has its own eligibility, deadlines, review, and deliverables. A technical paper can strengthen staff expertise, but it should never be described as included with the booth unless the official 2027 package says so.
Build the schedule around official release points
You can begin meaningful work before every date is published, provided each decision has a release condition.

Before General Sales opens: define the product, target role, evidence, space range, equipment, demonstration, utilities, and decision owners.
When the 2027 application opens: read the new rate sheet and license, submit through the correct route, record payment and cancellation terms, and keep preferred locations separate from the final assignment.
After assignment and ERC access: download the current rules, floor plan, deadline list, ESM, contractor contacts, registration instructions, and EAC requirements. Replace all provisional assumptions in the project file.
Before design release: obtain written answers for any height, overhead, enclosed space, load, fluid, gas, chemical, vehicle, sound, food, or demonstration question. Coordinate utilities with the actual booth orientation.
Before freight booking: use the official shipping labels, addresses, warehouse dates, target move-in instructions, carrier check-in rules, and move-out deadline. Confirm who will receive, place, empty, repack, and release each shipment.
Before staff travel is finalized: confirm exhibitor registration, access hours, training, product demonstration staffing, and who remains through dismantling.
This schedule makes uncertainty visible. It lets the team advance the parts that are known without disguising provisional assumptions as confirmed event requirements.
Frequently asked questions
Should a software or consulting company exhibit if it has no large equipment?
It can make sense if the company can demonstrate a specific water-sector workflow, operating decision, or project result to the roles it wants to meet. A screen full of general capabilities is not enough. Define a short scenario, the input a visitor supplies, the output the visitor sees, and the next technical question. Then check the 2027 product categories and exhibitor directory before committing.
Can related companies share one WEFTEC booth?
The 2026 application rules include a Booth Share process for legally related companies, but the 2027 eligibility, minimum-space, fee, and application terms have not yet been published. Identify each legal entity and the relationship before applying, then obtain the 2027 terms from Exhibition Sales. Do not place an unrelated distributor or partner under the same booth identity without written approval.
Can booth staff attend the WEFTEC technical conference?
Do not assume the access included with 2026 space will remain unchanged. Check the 2027 badge entitlements, registration categories, and any session-access conditions in the application package and ERC. Budget conference registrations separately until the organizer confirms what each exhibitor badge includes.
What should an international exhibitor prepare before the service manual is released?
Prepare equipment dimensions and weights, tariff classification with your customs professional, commercial shipping documents, a packing and return plan, demonstration consumables, utility loads, and the names of the importer and on-site consignee. Do not ship against an old advance-warehouse address. The 2027 manual must supply the authorized destinations, dates, labels, and material-handling instructions.
Can we run a live water or treatment demonstration?
Treat it as an approval and service question until WEFTEC confirms otherwise. Document the water source, containment, drain, pressure, power, chemicals, waste, cleaning, and failure response. Send the plan to the contacts specified in the 2027 rules and service manual before production. A tabletop recirculating model may reduce requirements, but it does not automatically remove safety or approval obligations.
Can we use our own exhibit contractor at McCormick Place?
WEFTEC currently provides an Exhibitor Appointed Contractor process, and McCormick Place publishes labor jurisdictions for work at the venue. The contractor still has to meet the 2027 registration, insurance, access, and work rules. Confirm the EAC process and the boundary between exhibitor employees, the EAC, official contractors, and venue trades in the current documents.
Final planning decision
WEFTEC 2027 is already firm enough to reserve the dates, prepare the application, and define what the booth must prove. It is not yet documented enough to freeze the budget, construction, services, or freight schedule. Use December 1, 2026 as the next official sales checkpoint, then replace every provisional assumption with the 2027 license, ERC, rules, service manual, contractor list, and move-in plan before committing the exhibit to production.
