AAPEX Exhibitor Guide: Prepare the Product Conversation and Show Operations

A product can be placed in the correct AAPEX section and still be easy for the right buyer to miss. The category tells visitors where to look; your exhibit must show why they should stop, what they can evaluate, and what should happen after the conversation.

If you are planning AAPEX 2027 for an international automotive aftermarket manufacturer, begin with that buyer decision. Then use the organizer's current documents to control eligibility, space, displays, services, freight, staffing, and follow-up. This guide separates what is already confirmed for 2027 from what still needs an official release.

The current site names the Venetian Expo and AAPEX Forum for 2026. That is useful evidence of the present event footprint, not confirmation that the same buildings, halls, booth ranges, providers, or routes will apply in 2027.

Understand the Show Before You Choose the Exhibit

AAPEX is an annual business-to-business automotive aftermarket trade show co-owned by the Auto Care Association and MEMA Aftermarket Suppliers. It connects manufacturers and suppliers with repair and service businesses, vehicle dealers, fleets, retailers, warehouse distributors, and automotive parts program groups.

The organizer currently divides the show floor into product and service areas that include:

  • accessories and lighting;
  • business services, AI, e-commerce, and technology;
  • diagnostics, telematics, and shop management systems;
  • electric vehicles and alternative fuels;
  • international sourcing and international pavilions;
  • mobile heat transfer, heating, air conditioning, and diesel emissions;
  • oil, lubricants, waxes, and chemicals;
  • paint and body;
  • remanufacturing;
  • tire servicing;
  • tools and equipment;
  • undercar and underhood products.

Joe's Garage and product showcases add demonstration and discovery environments to the exhibition. Training seminars, general sessions, keynotes, and other education are separate program components. They may support an exhibitor's audience plan, but they are not interchangeable with show-floor participation. The 2027 education schedule, exhibit sections, and feature areas were not yet published at the time of this review.

That distinction matters when your team writes the objective. “Attend AAPEX” is not an objective. “Let North American warehouse distributors compare our catalog coverage and agree to a data review” is one. So is “Let service-chain equipment managers test one diagnostic workflow and schedule a site evaluation.” Each statement identifies a role, evidence, and next decision.

Decide Whether Your Product and Market Readiness Fit AAPEX

The current AAPEX exhibitor prospectus describes an audience spread across service and repair businesses, retailers, distributors and program groups, dealers, fleets, and related aftermarket roles. Those groups do not evaluate the same offer in the same way.

A retailer may want packaging, assortment, margin logic, supply continuity, and consumer demand evidence. A warehouse distributor may focus on applications, catalog and fitment data, coverage, inventory, returns, and channel support. A repair business may care about installation time, diagnostic confidence, technician training, equipment use, and service outcomes. A fleet conversation can shift toward uptime, standardization, and total maintenance work.

Choose one role as the priority for the exhibit. Then answer these questions before reserving more space:

  1. Which vehicle, repair, distribution, or retail problem will this person recognize immediately?
  2. What can the person inspect at the booth rather than merely hear in a pitch?
  3. Which product claim can your team prove under the conditions shown?
  4. What U.S. catalog, distribution, training, warranty, technical, or sales work is ready after the show?
  5. What specific next decision can the visitor take with an assigned owner and date?

If the final answer is only “learn more,” the exhibit is not ready. AAPEX can create access to the market, but it cannot supply missing fitment data, approve an unsupported performance claim, or create a U.S. follow-up structure after visitors leave.

Follow the AAPEX Exhibitor Application and Registration Path

AAPEX does not treat every interested company as automatically eligible. Its current rules give Event Management authority to determine eligibility. The published criteria cover manufacturers offering proprietary products to the trade, certain exclusive importers, non-domestic manufacturers participating through government or trade-organization blocks, and defined service organizations. Manufacturer representative firms have a different role and cannot simply apply in their own name as the exhibitor under the current rules.

The official FAQ directs first-time exhibitors to the named AAPEX contact and says applications received after the deadline go to a waiting list. As of the review date, it does not publish a 2027 deadline that this article can verify.

Use this sequence:

  1. Describe the legal exhibiting company, brands, proprietary products, manufacturing or exclusive-import relationship, and target product categories.
  2. Ask AAPEX to confirm the correct eligibility path and application route in writing.
  3. Submit through the official process and retain the application, payment record, contract, and correspondence.
  4. Wait for space confirmation before treating a booth number, hall, or surrounding floor plan as fixed.
  5. Use the exhibitor login issued with confirmation to manage the official listing, profile, and resources for that edition; complete AAPEX exhibitor registration for booth personnel through the current official process.

Treat any proposal to share or sublet space as a contract question. Current AAPEX regulations restrict how other companies, products, signs, and materials may appear in an assigned booth. Obtain the 2027 rule in writing before accepting such an arrangement.

International manufacturers should resolve pavilion and independent-exhibitor status early. The 2026 regulations include specific participation conditions for some companies from China and several other countries or regions, especially those with limited AAPEX seniority. Because the 2027 regulations are pending, obtain a written eligibility answer before paying a booth builder, booking a shipment, or announcing participation.

Map the Product to the Section and Buyer Search Path

Section selection is more than a directory label. It affects who expects to find you nearby, which competing solutions frame the conversation, and how a visitor searches the floor plan and app.

Create a product-to-section sheet with five fields:

A product may belong to more than one commercial conversation, but the booth needs a clear first one. A diagnostic device can be relevant to technicians, service managers, distributors, and retailers. That does not mean its opening message should address all four. Choose the person whose next decision matters most, then prepare secondary paths for other qualified visitors.

Give Each AAPEX Document One Job

The application, exhibit regulations, Online Exhibitor Services Guide, floor plan, location-specific information, service forms, product rules, and official correspondence each control a different part of the project. A forwarded checklist cannot show which source approved a decision or whether the source has changed.

Record the source URL, document title, edition, download date, internal owner, and the decision it approves. A screenshot without a source or edition can expose the team to a silent change.

Use 2026 AAPEX Booth Rules Only to Build the 2027 Question List

The 2026 regulations contain detailed limits for linear, peninsula, island, and hanging-sign configurations. They also address engineered structures, display vehicles, fire-retardant materials, grounded electrical wiring, floor coverings, unfinished surfaces, storage, access, and inspections.

Those rules reveal the questions that a 2027 design review will probably need to answer:

  • What space type and level have been assigned?
  • What are the maximum and setback rules for each wall, sign, and display element?
  • Does the structure require engineered drawings, permits, or on-site inspection documents?
  • Is a hanging sign allowed in this location, and when is approval due?
  • Does a vehicle, battery, fuel, liquid, heat source, compressed gas, or operating machine need a permit or special control?
  • Which materials need flame-resistance documentation?
  • Who is authorized to provide electrical, rigging, plumbing, internet, cleaning, or material-handling work?
  • What rear access or service clearance must remain available?

Leave every height limit and approval period marked pending 2027 source until the current regulations and the guide for the assigned location support it. If a supplier needs an early design envelope, label it as a reversible internal assumption and keep it outside the approved show-rule column.

Plan the Demonstration Around Proof and Product Boundaries

Automotive aftermarket products can carry safety, fitment, performance, intellectual-property, and installation implications. A live demonstration makes those boundaries more visible.

For each displayed product, prepare a claim-and-proof record:

  • exact product, model, and configuration;
  • intended vehicle, system, application, or user;
  • claim the booth team may make;
  • evidence available at the booth;
  • conditions and limits that must accompany the claim;
  • regulated-product or intellectual-property review owner;
  • action staff must take when a question exceeds the approved evidence.

Current AAPEX rules address products subject to Federal Motor Vehicle Safety Standards and prohibit certain non-compliant or infringing displays. This article cannot determine product compliance. Your product, legal, regulatory, and customs teams must decide what can be imported, displayed, demonstrated, offered, or sold. The 2027 AAPEX agreement adds participation conditions to those existing responsibilities.

The physical demo sheet should also state power, data, connectivity, noise, movement, heat, fluids, waste, operator position, visitor boundary, reset time, and daily consumables. If visitors cannot safely see the difference, replace a live operation with another form of evidence rather than forcing a risky demonstration into the booth.

Build AAPEX Shipping, Move-In, and Move-Out From the Assigned Location

The 2026 AAPEX regulations use hall-specific setup and teardown windows, targeted freight timing, an official material-handling structure, and restrictions on what exhibitors can move themselves. The exact provider, addresses, dates, target times, charges, labor rules, and hand-carry conditions for 2027 are not yet confirmed.

Once the 2027 service information arrives, create one shipment plan per load. It should identify:

  • advance warehouse or direct-to-show destination;
  • correct show, exhibitor, booth, hall, and carrier labels;
  • target date and time;
  • package count, weights, dimensions, and handling needs;
  • customs status for international freight;
  • person who can resolve a hold, damage, shortage, or missed target;
  • empty-container storage plan;
  • outbound carrier, paperwork, pickup window, and fallback;
  • the person who remains until the shipment is accepted for return.

Move-out begins before the show opens. Without an outbound carrier, bills of lading or other required release documents, packing materials, and an owner, a successful exhibit can end in avoidable storage, rerouting, overtime, or missed transport.

No product, display, or packing schedule should assume early dismantling. Wait for the current rules to confirm when product removal and teardown may begin, then build staff travel around the actual release and freight schedule.

Turn Official Deadlines Into Named Decisions

An AAPEX date gains operational value when it has an owner and a release condition. Build the tracker in this order:

  1. eligibility and application;
  2. space contract, deposit, and cancellation terms;
  3. company profile and product-category listing;
  4. floor assignment and booth-type confirmation;
  5. contractor appointment, insurance, and access documents;
  6. booth drawing, structure, hanging sign, vehicle, fire, and other permits;
  7. power, internet, rigging, plumbing, cleaning, security, and related services;
  8. freight target, labels, customs, and carrier bookings;
  9. badges, travel, staff training, and appointment schedule;
  10. move-in acceptance, daily operation, teardown, and outbound freight.

For every line, store the official source, published deadline, lower-cost order date if applicable, internal due date, accountable person, evidence of completion, and escalation contact. Add an on-site installation check for every ordered service that the demonstration depends on.

Separate the Exhibit Plan From Education and Events

AAPEX also offers training seminars, general sessions, keynotes, technical education, networking, and other programmed events. These can attract roles that matter to your team and create timing conflicts with booth staffing.

Make a separate program plan after the 2027 schedule is published. It should name the session or event, intended attendee, reason for attending, coverage needed at the booth, and follow-up action. Do not describe a training session as part of the exhibition itself, and do not assume access, cost, capacity, or timing from the 2026 schedule.

The exhibit objective still controls. A session is valuable when it improves the team's market understanding or creates a relevant conversation, not simply because it appears in the same event calendar.

Frequently Asked Questions

Can we book travel before the exact AAPEX 2027 venue is confirmed?

The confirmed dates and Las Vegas planning basis may be enough to hold flexible travel, but do not choose a hotel, daily transport plan, freight route, or staff call time around a 2026 hall. Use refundable arrangements where practical, then update them when the 2027 contract or official event page identifies the precise venue and operating schedule.

Can a first-time international manufacturer apply to exhibit?

The current AAPEX FAQ provides a first-time exhibitor contact, while the regulations make participation subject to eligibility review. Send the legal company identity, proprietary brand and product relationship, country, product categories, and prior AAPEX participation to the official contact. Ask for the correct 2027 application, pavilion, or independent-exhibitor route in writing.

Can we use our own booth contractor?

Current AAPEX rules recognize an exhibitor-appointed contractor, but that contractor must follow the event's approval, contract, access, labor, and service-guide requirements. The 2027 forms, insurance limits, deadlines, and location rules are not yet confirmed. Do not promise site access until the current process is complete.

Are AAPEX and the SEMA Show the same event?

No. They are separate trade events with different exhibition locations and programs. Current AAPEX information says its badge also provides show-floor access to SEMA during applicable hours, but that does not turn one exhibitor contract into space at both shows. Verify the 2027 badge rights and schedules when registration information is released.

Which document should control if two instructions differ?

First check whether the documents cover the same edition, venue, booth, and service. Put the conflict in writing and ask the responsible AAPEX, venue, or official service contact for a documented answer. Keep that response with the approved plan. Do not resolve a current conflict by choosing the older or less restrictive instruction.

Prepare for the Decision, Then Release the Spend

AAPEX planning becomes manageable when every commitment answers one of three questions: Is the company eligible? Can the right aftermarket visitor evaluate the product? Can the team deliver the exhibit under the current event rules?

Use the confirmed 2027 dates to begin. Then obtain the official participation path, space assignment, regulations, location-specific service guide, and operating schedule before releasing rule-dependent design, orders, or freight. An early plan earns approval when every important decision points to the current source and to the person who must carry it through.
