AHR Expo Exhibitor Guide: Plan a Compliant HVACR Demonstration in Chicago

An HVACR product can be the reason people enter your booth and the reason your exhibit plan becomes complicated. The same unit that proves performance may also need freight handling, power, water, drainage, gas review, heat protection, noise control, or extra operating clearance.

This guide is for the international exhibitor managing that problem for AHR Expo 2027. It explains the show, the people and product categories it brings together, the current route to exhibit, and the official decisions that must be settled before your design, orders, shipping, and on-site work are released.

Understand what the AHR Expo brings together

The AHR Expo is a professional HVACR exhibition produced by International Exposition Company and co-sponsored by ASHRAE and AHRI. It combines a large product floor with show education and product presentations. The organizer describes a cross-section of residential, commercial, industrial, and institutional markets rather than a show for only one equipment type.

Official audience information includes engineers, contractors, OEMs, design-build professionals, wholesalers, distributors, manufacturer representatives, architects, facility managers, public utility professionals, educators, and industry media. That breadth is useful only after you make it narrower for your booth.

A controls company might need a consulting engineer to understand interoperability. A refrigeration component manufacturer may need an OEM engineer to examine operating limits. A commercial equipment brand may want a contractor or distributor to see maintenance access and installation logic. Those are different conversations, even when the product belongs in the same hall.

Write one priority visitor and one evaluation task at the top of your exhibit brief. Then decide what that person must see, measure, compare, or ask. This prevents the booth from becoming a catalog of unrelated HVACR claims.

Confirm that you have a valid path to exhibit

Contracted exhibitors can use the 2027 AHR Expo Exhibitor Manual and their show accounts to manage the directory listing, badges, approvals, service orders, and logistics. Make the employee named as the primary show contact responsible for access and deadlines; forwarding isolated screenshots to several vendors makes version control harder.

For companies that do not yet have space, the official position is more restrictive. As of September 7, the 2027 Chicago new-exhibitor page says the floor plan is sold out and only HVACR equipment or product manufacturers may submit a waitlist request. A request is not a confirmed booth. Do not authorize fabrication, freight, or travel on the assumption that space will become available.

The official sales page currently lists exhibit space at $47.30 per square foot. The included package is limited: back and side drape, a company-and-booth identification sign, and advance badge registration for exhibitor employees. Furniture, flooring, utilities, handling, labor, cleaning, internet, catering, and other operating needs require separate decisions or orders. Treat the space price as one line in the budget, not the exhibit cost.

Design from the demonstration outward

AHR Expo visitors expect to examine products and technology. If your equipment will operate, the demonstration brief must come before the final booth drawing.

For each live or powered product, record:

  • packed and operating dimensions, weight, and lifting points;
  • all doors, panels, service clearances, and operator positions;
  • voltage, phase, amperage, startup demand, and connection location;
  • water, drain, air, gas, exhaust, data, or dedicated internet requirements;
  • heat, flame, sparks, smoke, noise, vibration, liquids, refrigerants, and waste;
  • guards, barriers, emergency shutdown, and the safe visitor viewing point;
  • startup, reset, replenishment, cleaning, and shutdown time;
  • what the visitor will see and what that observation actually proves.

This information changes the plan. A unit that needs rear access cannot be placed against a solid wall. A screen that controls equipment cannot depend on shared public Wi-Fi. A demonstration that produces heat or uses gas needs an approval path, not just an electrical order. Heavy equipment also affects freight, placement, and move-out.

The current construction guidelines require advance approval for open-flame, hot-work, heat-producing, smoke-producing, and gas demonstrations. The deadline shown in the 2027 manual is November 20, 2026. Propane is not permitted at McCormick Place, and compressed gas cannot remain in the building overnight. Approval may also require an enclosure or shield, clearance from combustible material, an extinguisher, and a trained fire watch. Do not promise a live effect until show management has approved the actual equipment and method.

Match the booth drawing to the assigned space

Every exhibitor must submit a booth layout for approval by November 20, 2026. The drawing should identify the exhibitor, booth number, orientation, dimensions, constructed elements, bulky equipment, and any suspended item. A rendering without measurements is not enough to test compliance.

These are not interchangeable design options. Use the booth type and location on the official sales plan, because some North Hall spaces have special headroom and rigging limits. Product displayed at its sold height is treated differently from constructed branding, but that does not allow a logo to exceed the applicable display height.

Multi-level and covered exhibits need extra fire-safety review. Suspended signs and overhead product displays require prior approval before rigging can be ordered. Storage also affects the layout: nothing may be placed behind the booth drape or back wall, so cabinets or other approved storage must fit inside the contracted footprint.

Put the dated approvals and orders on one calendar

The manual separates mandatory deadlines from best-rate dates. Missing an approval can stop an activity. Missing an early-order date may instead increase price or reduce options. Label the two types differently in your project schedule.

Some manual entries still show “TBD” or “coming soon.” The target move-in plan, parts of the service program, and some rates were not final when this guide was checked. Put those items on a pending list with an owner and recheck date. A blank field is not permission to substitute a 2026 deadline.

Order through the correct service interface

The official vendor page and exhibitor manual identify who handles each show function. Freeman is the show contractor for rental displays, furniture, carpet, audio-visual, cleaning, signs, material handling, labor, utilities, and related show-floor work. McCormick Place Technology Services is the exclusive internet and telecom provider. Maritz Global handles registration services and lead retrieval, while OVG Hospitality is the exclusive catering provider.

Use the approved list before responding to an unsolicited email offering an attendee list, hotel room, freight service, or show service. A familiar event name in the sender line does not prove an official relationship.

Your order tracker should record the provider, service, order number, drawing or attachment, ordered quantity, connection point, confirmation, on-site contact, and cancellation terms. Keep the operating specification beside the order. “Power ordered” is not a useful status if the voltage, phase, amperage, drop location, and equipment plug remain undecided.

If you appoint a contractor other than Freeman, submit a separate EAC notification for each contractor by December 28, 2026. The contractor must provide the required certificate of insurance and obtain the credentials needed for setup and dismantle access. Confirm this before booking travel for the crew; an installation schedule does not override the credential rules.

Plan freight around the target move-in system

The AHR Expo is a targeted show. Direct shipments must arrive according to the date and time assigned to the booth on the Target Move-In Plan. As of September 7, 2026, that detailed plan was still marked for release in fall 2026 or “coming soon.” Do not invent a direct-delivery time while waiting for it.

The 2027 shipping overview lists two main routes:

  1. Advance warehouse freight may arrive at Freeman's Chicago warehouse from December 22, 2026, through January 14, 2027. The page lists restrictions for uncrated goods, hazardous material, refrigerated or frozen freight, and oversized or very heavy single pieces.
  2. Direct freight goes to McCormick Place and must follow the booth's target schedule. The driver checks in at the marshaling yard and may wait in queue.

You may choose your freight carrier, but Freeman is responsible for unloading trucks and moving material to and from the exhibit space. Every shipment needs a certified weight ticket and bill of lading for material-handling billing. Keep the exhibiting company name and booth number on labels and documents.

An international exhibitor should also use the current customs and international-shipping instructions linked by the manual. Confirm who acts as importer of record, what product or wood-packing documents are needed, and whether any equipment, refrigerant, battery, chemical, food, or sample has special treatment. Those answers depend on the shipment; they cannot be inferred from a general booth schedule.

Before the show closes, complete the Freeman outbound shipping form and give the carrier accurate pickup instructions. Without outbound information, the freight may be returned to the company address on file at the exhibitor's expense.

Staff setup, show days, and move-out as separate operations

Official setup hours run January 21–24. Exhibitors working after the posted daily close must notify show management, and re-entry is restricted after a person leaves. On Sunday, empty crates and packing material must be labeled and left for pickup before 3:30 p.m.; they cannot be stored behind the display.

During the show, the exhibit must remain staffed and orderly. Aisles belong to the expo, so equipment, signs, filming gear, samples, and promotional activity must stay inside the booth. The official photography policy also prohibits photographing or filming another exhibitor's booth, product, or personnel without permission.

The exhibit must remain intact until 4:00 p.m. on Wednesday, January 27. Empty-container return begins after the aisle carpet is removed and may take 12–15 hours. Move-out continues through Saturday, January 30, with all materials due out by 11:00 a.m. and final carrier check-in due by 8:00 a.m. Build the outbound plan around that sequence rather than promising an immediate crate pickup at show close.

Keep the expo and the ASHRAE Winter Conference separate

AHR Expo has its own show-floor education, association seminars, and New Product Theater opportunities. The detailed 2027 expo education schedule was not yet public when this guide was checked, so do not copy session titles from 2026 into a 2027 visitor invitation.

The ASHRAE Winter Conference runs January 23–27, 2027, in Chicago at the same time, but the AHR Expo FAQ states that the conference and expo are independent events managed by separate organizations. A paid ASHRAE conference badge includes access to the expo. That does not make every expo registration a conference registration.

Keep separate lines in the team calendar for expo hall hours, AHR Expo education or product presentations, and ASHRAE conference sessions. This avoids assigning a booth employee to a conference activity while assuming another badge or schedule covers both.

Build one release checklist before anything ships

The most useful control is a single record that connects the product, booth, orders, and freight. Before release, confirm:

  • current approved booth layout and approval date;
  • product dimensions, weights, access zones, and demonstration method;
  • approval status for rigging, covered or multi-level structures, heat, flame, gas, or other special conditions;
  • EAC notice, insurance, crew names, and access credentials when an EAC is used;
  • utility and service orders with connection locations;
  • advance-warehouse or direct-shipping route for every crate or machine;
  • target move-in assignment when the official plan becomes available;
  • outbound carrier, paperwork owner, and latest acceptable pickup time;
  • source link, download date, and recheck owner for every rule that can change.

Do not release a booth because the rendering looks finished. Release it when the drawing, demonstration, service orders, freight documents, and on-site responsibilities describe the same physical setup.

Frequently asked questions

Does an AHR Expo badge include the ASHRAE Winter Conference?

The official AHR Expo FAQ says a paid ASHRAE Winter Conference badge includes AHR Expo access. It also says the two are independent events. Do not assume the reverse: an expo badge is not described as conference registration. Register through the appropriate organization for the program your employee will attend.

Can a booth use the complimentary venue Wi-Fi for a live product demonstration?

The exhibitor manual describes complimentary Wi-Fi in meeting rooms and public spaces as shared bandwidth suited to low-data tasks such as email. If a demonstration, cloud application, video call, or lead system depends on a stable connection, order the required service from McCormick Place Technology Services and test a local fallback.

May an exhibitor photograph other booths or products?

Not without the exhibitor's permission. The official policy also requires aisles to remain clear and limits when exhibitors or their agents may film outside their own space. Give photographers a written shot list and brief them on the show policy before they arrive.

Can children enter the AHR Expo floor?

No one under 16, including infants, may enter. Registered 16- and 17-year-old students may attend during show hours only when accompanied by an adult. This matters when arranging family travel or student participation.

Does the exhibiting company need to send proof of insurance?

The official exhibitor FAQ says exhibiting companies should carry insurance but do not need to submit proof to show management. An EAC is different: every appointed contractor other than Freeman must provide the specified liability and workers' compensation certificates. Keep the exhibitor's own risk decision separate from the contractor-access requirement.

Final planning decision

AHR Expo rewards a product demonstration that the right HVACR professional can understand and question. It also exposes any gap between the product, approved layout, service order, and freight plan. Confirm your right to exhibit first, build from the real demonstration, and let the assigned space and current manual control every later release.

The 2027 exhibitor manual is already active, but several details remain pending. Keep those entries open, name the person who will recheck them, and do not replace them with prior-year assumptions.
