CPHI Americas Exhibitor Guide: Dates, Audience, and Booth Planning

You may be comparing CPHI Americas with other U.S. events and asking whether the new Miami edition deserves part of your booth budget. The 2027 show runs for two days and gives more attention to contract manufacturing and outsourcing.

This guide separates confirmed 2027 facts from old Philadelphia material. It then helps you test your fit, decide what a buyer should learn from your booth, choose a stand package, and avoid ordering freight or booth services from outdated instructions.

Informa Markets says CPHI Americas will go to Miami for the first time in 2027. The move changes more than the address: the 2026 event ran for three days in Philadelphia, while the confirmed 2027 dates cover two days in Miami Beach. Plan staffing around those two days, but do not book travel that depends on opening or closing times until the daily schedule is published.

Older official pages and PDFs are still visible online. Some use the former name CPHI North America or refer to Philadelphia, a three-day program, and 2026 suppliers. Keep those files out of your Miami order folder. They are not a safe basis for freight, utilities, labor, badges, or hanging signs.

Check whether your offer fits the Miami edition

The current homepage presents CPHI Americas as a conference-led event centered on contract manufacturing. Its exhibitor page highlights three areas: CRO services, contract manufacturing, and bioproduction. That is a narrower message than the broad pharmaceutical supply-chain coverage shown in the 2026 event report.

Start with the part of your offer that fits one of those three areas. Contract manufacturing messages should name the work you can accept, such as development, technology transfer, scale-up, production, or packaging. CRO messages should connect a defined research service to a study decision. Bioproduction messages should show where a platform, piece of equipment, material, or service fits a real process. If you cannot make that connection in one sentence, ask the event sales team to confirm your category before you reserve space.

This check matters most when you sell APIs, excipients, packaging, machinery, laboratory services, logistics, or regulatory support. These offers may still belong at CPHI Americas, but an old Philadelphia floor plan does not prove it. Ask for the current prospectus, exhibitor category, buyer profile, and likely floor location before committing budget.

Decide what the buyer should agree to next

Pharmaceutical companies rarely choose an outsourcing partner after one aisle conversation. A useful booth result is smaller and more realistic: the person responsible for a live project agrees to a next qualification step.

Write that next step as a question before you brief the booth designer. Contract manufacturing conversations might ask whether your site and platform deserve a technical call for a named project. Research-service discussions might decide whether the indication, phase, geography, and study scope fit an RFI. A bioproduction conversation could end with agreement to review a sample, a data set, or a process problem with an engineer.

"Learn about our capabilities" is not a decision. Your booth brief should say what kind of project fits, what proof you can show, who can assess it, and which follow-up meeting you want to schedule.

Show a short path from fit to proof

Long service lists force visitors to work out the meaning for themselves. Give them a short path they can follow instead:

  • State the fit: name the modality, dosage form, development stage, process, or service boundary that defines the projects you can discuss.
  • Show approved proof: use evidence your technical and quality teams have cleared for public display, such as site or equipment scope, a relevant batch or study range, an inspection record, a transfer step, or an anonymized project example.
  • Offer the next step: invite the right visitor to a confidential technical call, NDA, document review, sample evaluation, RFI, or scoped proposal.

Do not promise a quotation when you still do not know the scope, timing, or required service. The booth should help a buyer decide whether to open a proper review, not pretend that the review has already happened.

Make the same sequence visible in the layout. Put the fit message where people can read it from the aisle, keep approved evidence close to the first conversation, and reserve a quieter place for subjects that should not be discussed in public.

Prepare one conversation for several buyer roles

The official CRO page names C-suite, purchasing, leadership, R&D, and business development among the professionals it aims to attract. Several may take part in the same opportunity, but your meeting still needs one project owner and one decision to move forward.

Ask business development to confirm the commercial need and timing. Let scientists or technical leads test the method, platform, and transfer risk. Give procurement a clear route to commercial terms and supplier qualification. Share quality or regulatory documents after an NDA through a secure follow-up. The story stays the same; only the evidence and next question change with the person in front of you.

Your lead form should capture the project, not just the badge. Record the company, contact role, need, stage, timing, known constraint, evidence requested, and agreed next action. If the visitor cannot share details in public, write down the safe follow-up instead of pressing for confidential information.

Build the meeting plan around two days

The public site confirms May 25 and 26, but it does not yet publish daily show hours. Do not copy the 2026 timetable into your staffing plan.

Start with the accounts that are hardest to reach and prepare their invitations before meeting booking opens. The current exhibitor journey shows the organizer using company profiles, meeting bookings, and the Events by CPHI app. The 2027 access dates and features still need confirmation, but you can prepare the company profile and meeting notes now.

Give every invitation a reason: the project you think may fit, the person from your team who will attend, and the decision that could be made in 20 minutes. Leave open blocks for qualified walk-up conversations and meetings created onsite. Ten relevant appointments are more useful than a full calendar of generic introductions.

Choose the stand package after the meeting plan

The current CPHI stand page lists Space Only, Modular Stand Design, and Shell Scheme. Choose among them only after you know how many conversations you need to host and what evidence you need to display.

Stand optionChoose it whenConfirm before signing
Space OnlyThe brand needs a custom environment and can manage design, production, installation, and service ordersPlot dimensions, height limits, design approval, contractor rules, and utilities
Modular Stand DesignThe team wants a coordinated branded space with fewer construction decisionsIncluded structure, graphics, furniture, storage, lighting, and change limits
Shell SchemeThe priority is a compact base for scheduled meetings rather than a complex buildFascia, wall finish, furniture, power, graphics, and storage options

Ask for a written 2027 package comparison and mark every item as included, optional, or excluded. Do not approve graphics or fabrication until you have the assigned booth number, current technical rules, and contractor process.

Build a Miami control sheet before placing orders

Miami Beach Convention Center confirms its address as 1901 Convention Center Drive. That public address is not an exhibitor shipping destination. Wait for the CPHI Americas 2027 exhibitor manual before labeling or sending freight.

Set up the control sheet in three groups:

  • Freight: official shipping address, advance warehouse, delivery dates, labels, material handling, and return plan.
  • Build: contractor registration, insurance, local labor, move-in, rigging, fire review, and dismantling.
  • Onsite services: power, internet, cleaning, storage, security, and badges.

Give every line an owner, deadline, source document, and approval status. This prevents a Philadelphia form from entering a Miami order and shows your team which answer came from the venue, the organizer, a service contractor, or your own company.

Measure qualified progress after the show

The organizer reports 2,650 attendees and more than 270 exhibitors for 2026. Those figures describe the previous event. They do not predict 2027 attendance, your aisle traffic, or the number of opportunities your team will create.

Choose three or four outcomes before the show: a technical meeting accepted, an NDA started, an information request received, a sample or document review agreed, or a site discussion scheduled. Record the owner and due date while the conversation is fresh.

Keep contacts with a named project, decision owner, and dated next step separate from badge scans and vague future interest. That distinction tells you whether the Miami edition produced work worth pursuing and whether it belongs in next year's plan.

Decide whether to exhibit or attend first

Choose a booth when your offer clearly fits the current event direction, you can name the buyer and next decision, approved evidence is ready, and your team can secure focused meetings within two days.

Attend first when the 2027 category is still unclear, your U.S. sales path is not ready, public evidence has not been approved, or the team cannot define a useful next step. Use the visit to test who attends, where competing offers sit, and which conversations would justify a stand later.

Frequently asked questions

What should I request before paying a booth deposit

Ask the sales team for the 2027 prospectus, floor plan or current location options, your exhibitor category, the expected buyer profile, a written package list, payment and cancellation terms, and the date when technical rules will be released. Put the edition and issue date on every file you receive.

Is the Connections Program confirmed for 2027

The current program page describes the 2026 edition, not a confirmed 2027 program. Ask whether it will return, when applications open, who qualifies, and how matches are made. Even if it returns, the organizer says meeting volume depends on attendee demand matching your offer.

How can we show proof without exposing confidential customer data

Remove client names, product identities, batch numbers, and commercially sensitive figures. Show the problem, the work your team performed, the approved evidence, and the next gate in the project. Have technical and quality owners approve the exact public version before it goes into graphics or a screen demo.

Where can I find the CPHI Americas exhibitor list

The organizer's public search link currently opens a list labeled CPHI Americas 2026. The 2027 exhibitor list was not publicly visible as of September 7, 2026. Use the current exhibitor-list link when the Miami edition opens, and verify the year before copying company or booth-number data.

Can an exhibitor use a custom stand builder

The current stand page says Space Only exhibitors can use their own pre-designed stand. That statement does not confirm Miami contractor registration, insurance, local labor, design approval, or move-in requirements. Ask for the 2027 contractor process before appointing a builder or releasing production.

What if your technical expert cannot be in Miami for both days

Do not leave every technical question to sales or fill the gap with generic product sheets. Put one commercial owner and one teammate trained to present approved evidence on each shift. Reserve specific video-call windows when the technical expert can join, test the connection and screen sharing before the show, and give the booth team a response deadline for questions that cannot be answered onsite. You own that coverage plan and should stop the team from improvising technical claims.

Final thoughts

Make the CPHI Americas decision in this order: confirm your category, name the buyer's next decision, secure relevant meetings, choose the stand package, and place orders only when current Miami documents confirm the details. If the first three steps remain unclear, attend in 2027 and use the visit to decide whether a booth deserves budget next time.
