East's Arrington setting includes camping in a grassy field, with education and an equipment exhibition during the weekend. It is the immediate option in this calendar if your demonstration vehicle is ready and Virginia is practical for your team. The FAQ permits certain exhibitor camping arrangements, but its page still mixes dated material from different editions. Confirm the arrangement for your booked space before deciding to sleep in the display tent. An exhibitor camping provision should not be read as a general visitor-ticket benefit.

West: account for the tent anchoring at Ft. Tuthill

For your display, the practical question is whether the vehicle, the open rooftop tent and the canopy anchors fit together. Pacific Northwest: Redmond, with camping and hands-on learning

The Pacific Northwest event is in Redmond, Oregon, rather than a coastal city. Its program combines the equipment exhibition with classes, and the venue offers a field-camping setting. The published exhibitor rules restrict moving vehicles through the exhibition during show hours. Plan to show the tent on a parked vehicle; do not promise a drive around the grounds as part of an ordinary booth demonstration. Mountain West: use Brighton for the next booking

Mountain West's 2027 edition moves to Riverdale Regional Park in Brighton. The organizer's 2026 recap explicitly announces the new venue. Treat this as a fresh site check. Ask for the Riverdale floor plan and vehicle-access instructions before reusing an old booth drawing. A layout that worked in Loveland does not establish where you can unload or anchor a canopy in Brighton.

What to confirm before reserving your space

The East exhibitor registration page provides routes to booth rates and a floor plan. It says space is allocated in order of booking, with premium locations prioritized for sponsors. Request a separate quote for your chosen stop, stating the vehicle and tent you will bring. Check what is included before comparing costs; consumer ticket prices are not exhibitor rates. A useful inquiry includes the deployed tent dimensions and a drawing of the ladder access. Describe the demonstration you want visitors to see. For example, will staff open and close the tent, or will visitors enter it? Ask the organizer to confirm that activity and the space needed before you advertise it.

At East, programming approval is needed for inclusion in the official demo schedule. The 2026 manual lists August 14 as the application deadline, already past at the time of this check.
