10 × 10 ft Inline Rental

A focused option for one principal software or small-product demonstration. A branded rear display and compact workstation leave the front available for introductions. For 2026, ASTRO allows up to 8 ft in the rear half of an inline booth and 4 ft in the front 5 ft; taller graphics belong toward the back.

10 × 20 ft Inline Rental

More frontage allows a second demonstration position or a small meeting area. Choose the priority before filling the layout: two active demos use space differently from one demo with seats for a longer discussion.

20 × 20 ft Island Rental

An island offers approaches from four aisles, with scope to distribute product viewing and conversations around the exhibit. Its openness must survive the addition of screens, storage and partitions. A large treatment system requires a measured layout; floor area alone does not establish suitability.

Our booth service combines rental configuration with custom fabrication and graphic integration. The team developing your exhibit also connects the design to packing, transport and installation planning. That connection matters when a workstation position changes: the effect on the structure and site arrangement can be reviewed together.

Who Signs Off on the Booth and the Demonstration

Your product team supplies the equipment information and approved demonstration content. Your marketing or regulatory reviewer authorizes the claims and artwork for production; King Exhibits produces the agreed exhibit and checks its key physical details. ASTRO and the venue retain their approvals, including the applicable design and contractor requirements. Before installation is scheduled, the project plan identifies the authorized labor, service orders and customer representative responsible for accepting the booth. Operating or commissioning your medical equipment is a separate responsibility to define with its manufacturer.

Turn Your ASTRO Brief into a Rental Proposal

Describe the Demonstration

Send your show year, booth number, floor plan, budget and equipment or software demo list. We assess the space and requested services, then identify the information needed to develop the rental configuration.

Review the Layout and Service Scope

Provide screen sizes, equipment dimensions and meeting needs. We develop the design direction and proposal, showing the planned exhibit and the services to be supplied. Your team receives a layout and a defined basis for budget approval.

Approve the Build Details

Return approved artwork, product details and required organizer decisions. We prepare the agreed booth and check key assembly and graphics. The approved design and any accepted changes become the reference for delivery.

Coordinate Installation and Closeout

Confirm your targeted move-in assignment, service orders and on-site contact. We coordinate the contracted transport and field work against those inputs. Your team receives the booth handoff, followed by the agreed dismantling and return or storage arrangements.

Does your rental include the ASTRO exhibit space?

No. King Exhibits supplies the agreed booth structure and project services. Your exhibit-space application and payment go through the organizer’s official sales process. Keep that contract separate when comparing booth-build proposals.

Can we demonstrate treatment-planning software on several screens?

Yes, subject to the available booth space and technical requirements. Tell us how many demonstrations will run at once, whether visitors sit or stand, and whether the software needs a live connection. We can then plan the workstation positions; your software team remains responsible for the demo system and content.

Can a rental booth include our full-size radiation therapy equipment?

Only after the specific equipment has been assessed. Send its dimensions, weight, bearing points, handling instructions and intended operating state. Floor loading, access and the placement sequence need confirmation before a layout or handling service is accepted. We do not assume that any treatment system fits a standard rental footprint.

Are electrical, internet and rigging charges included in your price?

Only the items expressly included in the accepted proposal are covered. ASTRO lists MCEC for electrical, internet and rigging services in 2026. These orders must follow the official arrangements. Freight transport and show-site material handling also need separate identification, even when both are required to deliver the same exhibit.

Which dates should our booth team use for ASTRO 2026?

The meeting runs September 26–30, while exhibits are open September 27–29 at the Thomas M. Menino Convention & Exhibition Center in Boston. Plan installation around your assigned target time, not the opening date. A truck’s target check-in does not establish when the booth will be ready for the installation crew.

Can you still take a new project for the 2026 meeting?

Acceptance depends on the remaining production time, booth requirements and available show services. Send your brief and existing approvals for a schedule review before committing. Several published advance-order deadlines have already passed; current charges and service availability need to be checked for your project.

What changes the cost of an ASTRO booth rental?

The number of demo stations, screen sizes, custom fixtures and meeting furniture change the exhibit requirements. Equipment weight and delivery arrangements can also affect the budget. Give us a target range and distinguish essential demos from optional features; we can price the proposed booth elements and identify the official orders you still need.
