Plan the Rental Exhibit Around the Building Product Decision
The AIA Conference on Architecture & Design expo brings architects and other AEC decision-makers together with product manufacturers and solution providers. A useful exhibit must therefore make the product legible at more than one distance: the aisle communicates the category, the display reveals the material or detail, and the right person can answer the next technical or project question.King Exhibits begins with the objects and decisions the booth must support. We place approved samples, working parts, graphics, screens, storage and conversations within the assigned footprint, then connect them to rental structures and any confirmed custom fabrication. For an AIA27 trade show booth rental in Philadelphia, the current assignment and official documents remain the controlling project inputs.AIA sells the exhibit space and controls its exhibitor requirements. The venue and designated providers control services reserved to them. King’s quotation covers only the exhibit design, production, transport and onsite work it expressly accepts. This separation is important because the current AIA27 booth page says furnishings and utilities are not included with exhibit-space rental, while the edition-specific Exhibitor Service Manual is expected later.
Choose the Display Format by What the Product Must Prove
Use removable samples, controlled labels and a clear comparison basis for color, texture, reflectance, profile or application. Confirm how samples are touched, removed, replenished and returned. Lighting should support the approved comparison, not create a visual effect that misrepresents the product.
A cutaway, corner, hardware set or wall section needs confirmed dimensions, weight, attachment points and viewing sides. Show the interface an architect or contractor needs to understand, while keeping fasteners, sharp edges, moving parts and staff access inside the approved display condition.
Connect the physical product to the exhibitor-approved data, test reference, configuration or application condition that gives it meaning. Keep the first explanation brief, then hand detailed questions to the product or technical representative. King produces the approved physical and graphic presentation; the exhibitor owns every performance statement.
Plan the screen, input device, power, network, cable route, standing position and fallback content as one station. A software or specification tool should open to the intended task instead of depending on a long setup. Confirm what visitors may operate and who handles project-specific questions.
Match the Footprint to the Number of Decisions on Display

A compact inline space can work when one product family, one comparison surface and one staff-led conversation form the complete visitor task. Confirm the actual frontage and sightline limits before design approval.

More inline frontage can separate a material library from an operating mockup and a short technical exchange. The arrangement still needs a clear entrance, staff-side storage and rule-compliant heights.

An island or larger footprint can support multiple product groups, demonstrations and meetings only when each open side has a defined role and the central storage and utilities remain serviceable.

Treat the Material Library as a Working Display
List every sample family, comparison attribute, label and take-away piece before sizing the wall or counter. Decide which samples stay fixed, which visitors may handle and which can leave the booth. Then place reserve stock, packaging, returns and staff access behind the public face. This operating plan keeps colorways and profiles in the correct sequence throughout the expo and prevents the most useful samples from disappearing before the next project conversation begins.

Give One Construction Detail Enough Room to Be Understood
Choose the junction, opening action or assembly sequence that best separates the product from alternatives. Supply the model dimensions, weight, attachment method, operating arc and required viewing sides. We can position the confirmed mockup within the rental structure and quote fitted supports where needed. The exhibitor’s technical team approves the displayed condition and explanation; current AIA and venue requirements determine whether the proposed structure and interaction can proceed.
Turn Sample Interest into a Project-Specific Question
Put a short application prompt beside the product, then make the technical handoff visible. The visitor may need to discuss substrate, opening size, climate exposure, finish, integration, code pathway or digital workflow; your team decides which inputs apply and who is qualified to respond. The booth layout should support that exchange without trapping the visitor at the sample wall. A nearby discussion point also keeps deeper questions from blocking the next comparison.

Review Samples, Structure and Show Responsibilities in One Direction

King Exhibits can bring the assigned footprint, product objects and visitor actions into one 3D plan. Your event, product, technical, brand and operations teams can review where each sample sits, how a mockup operates, what a graphic explains, where reserve stock goes and which services remain outside the exhibit quote.Confirmed dimensions and loads can guide quoted CNC and wood fabrication for sample slots, recessed faces, fitted supports, access panels or storage. Approved graphic files can be assigned to precise locations, while project checks compare identified components and production information before packing. Our written proposal defines the accepted rental, custom, graphic, transport and installation/dismantle work. AIA booth space, venue utilities, internet, rigging, material handling, labor or other official services remain separate unless the signed scope explicitly assigns coordination or cost responsibility to King.
Keep Product Approval and Exhibit Production Connected

Confirm the actual samples, dimensions, weights, displayed condition, approved performance language, operating method and staff qualified to answer technical questions.

Provide the AIA assignment, deadlines, exhibitor account access, EAC requirements, shipment plan, venue orders and onsite contacts.

Develop and produce the 3D design, rental structure, approved graphics, confirmed custom elements, packing, transport and onsite work listed in the accepted quotation.

Control booth approval and the services reserved under current event and venue rules. Their documents and written approvals take precedence over preliminary assumptions.

What You Provide: Final files, approvals, shipping instructions, official orders and onsite contacts. What We Do:
Send the show edition, booth number, dimensions and open sides; the product and sample list; dimensions and weights; any moving or working details; approved-content status; screen and utility needs; target visitors; staff and meetings; storage; budget; freight plan; and the onsite services you want priced. Mark any unresolved product or rule item so the first design does not treat it as approved.
Yes, after the material, weight, attachment, operating movement, viewing sides and current event/venue requirements are confirmed. King can integrate the approved display into the rental design and quote fitted fabrication where needed. The exhibitor approves the product condition, technical explanation and safe operating method; official review may still be required.
Provide the sample families, quantities, labels, take-away policy and replenishment routine. We can plan fixed sample positions, staff-side reserves, packaging and returns so the public comparison stays coherent. If samples require special security, climate, sanitation or handling, identify that requirement before the storage and counter details are released.
Not by default. AIA sells the exhibit space, and the current AIA27 booking page says furnishings and utilities are not included with that space. King’s proposal lists the exhibit work it accepts. Electrical, internet, rigging, material handling, venue labor and other services follow the current manual and order channels unless the signed proposal expressly states otherwise.
The assigned footprint, rental architecture, custom sample fixtures, material weight, graphics, lighting, AV, storage, freight and onsite scope all affect the exhibit quote. Official space, utility, handling, labor and other event charges may sit outside it. Send the actual display objects and service needs so the proposal can separate these cost groups instead of relying on a size-only estimate.
Start once the AIA edition and booth assignment are known. The remaining schedule must cover product measurements, design decisions, internal content approval, any required show-management review, fabrication, service orders and shipping. A full-scale mockup, suspended element or complex digital demonstration can add dependencies, so it should be identified in the first brief rather than introduced after production begins.
Often, after review. Rental walls, counters, lightboxes and storage may be reconfigured, while AIA-specific graphics, sample sets, attachments, services and layouts must be checked against the next venue and booth assignment. A useful reuse plan separates stable exhibit architecture from event-specific content and product interfaces.
No official status, endorsement or affiliation is claimed. King Exhibits is an independent exhibit design, build and rental provider. AIA controls booth sales, exhibitor rules and approvals; the venue and designated providers control services assigned to them. Our quotation defines only the work King agrees to perform.
