Choose the Exhibit Direction by What Visitors Must Understand
• Give each therapeutic program one approved evidence path.
• Plan research instruments around utilities, samples, screens, and reset needs.
• Turn research services into one visible, easy-to-follow workflow.
• Separate multi-program portfolios by message, owner, and handoff point.
An Orlando Trade Show Booth Rental Built from Your AACR Communication Plan
An AACR exhibit rental may need to introduce a therapeutic platform, explain a research workflow, demonstrate laboratory technology or support confidential commercial discussions. Those are different physical tasks. We start with your booth assignment, target audience, product or service, approved content, equipment record and meeting plan. The resulting direction connects visitor flow and display locations to the graphics, rental structure, production items and on-site work included in the proposal.
Match the Footprint to the Scientific Work It Must Carry
Use one primary research or product proposition, one compact media or display surface and a short staffed conversation path. Keep the plan within the current inline configuration.
Add a comparison, compact demonstration or second specialist route without turning the front of the booth into a wall or waiting area.
Support equipment, several visitor approaches, scheduled meetings or multiple programs with an open plan that can enter the current rendering review process.
Combine adaptable rental components with AACR-specific graphics or fitted product elements when the program will continue at other scientific meetings.
Release the Evidence and the Display as One Record
Scientific content can change while the booth structure is already moving toward production. Create one register that connects each displayed product or service to its approved statement, source document, graphic file, physical location and responsible reviewer. The exhibit team can then release only the graphics that have cleared the exhibitor’s medical, regulatory or legal process. King Exhibits uses the approved files for the quoted physical work; it does not replace the exhibitor’s content approval.

Draw the Demonstration Where It Can Actually Operate
For an inline AACR exhibit, the current prospectus keeps tall obstructions out of the front half and places demonstrations in the back half. Plot the equipment at operating size, then add the presenter, observers, line of sight, consumables, cable path and reset point. This shows whether the planned interaction belongs in the reserved footprint before production. Island concepts need their own access, setback, height and rendering review against the current show documents.
Put Every Equipment Interface on the Show-Order List
A laboratory instrument, display model, monitor or demo station affects cabinetry, packing, material handling, power, internet, heat, access and installation sequence. Record those interfaces before the booth quote is closed. The proposal should identify which physical work King Exhibits has accepted and which services remain with AACR, the Orange County Convention Center, Freeman or another authorized provider. Current forms, rates, deadlines and technical acceptance still require project-level confirmation.

See Where Every Message, Device and Service Lands Before Production

King Exhibits provides personalized exhibit design, rental and custom booth options, graphics, transportation and logistics, project management, installation and dismantle, and storage services described on its official website. For an AACR project, those capabilities are organized around the actual booth assignment and accepted quote. The review connects each product zone and meeting task to a physical component, approved graphic, packed item, delivery step and responsible party instead of treating design and show-site work as separate conversations.
Use Four Files to Release the AACR Exhibit

List the product or service, audience, approved statement, evidence source, physical display and client content owner.

Record operating dimensions, weight, power, internet, ventilation, viewing position, consumables, reset needs and safe handling information supplied by the exhibitor.

Review dimensions, sightlines, graphics, product supports, storage, meeting positions and any feature that must enter current AACR or OCCC review.

Separate quoted King work from booth-space fees, material handling, electrical, internet, rigging and other current official-service orders.
Turn the AACR Brief into Work Your Teams Can Approve
Share the target audience, cancer research problem, product or service, approved message and the action a qualified visitor should take next.
Send the booth assignment, dimensions, configuration, equipment data, demonstration method, media, storage, meeting and accessibility needs.
Check message order, product positions, operating clearances, visitor flow, graphics and physical components against the intended conversation.
Review the King proposal beside the current AACR, OCCC, Freeman and other authorized-provider forms so responsibilities and charges are not confused.
After the exhibitor approves the design, content and accepted scope, production and show-site planning proceed against the agreed record and current event requirements.
No. AACR manages exhibitor eligibility, booth applications, space assignment, official fees and show approval. King Exhibits is an independent booth provider, not an AACR affiliate. Its rental, custom exhibit and related services are defined in a separate written proposal.
It can be planned for review when the product is relevant to the meeting and the exhibitor supplies the operating method, dimensions, weight, utilities, safety information, staffing and approved content. The current AACR, venue and official-service requirements still control what may operate on site.
Send only content that has completed your applicable medical, regulatory and legal review. A display register can connect each approved statement to its source, graphic file and booth location. King Exhibits uses the released files for production but does not approve scientific claims.
The current 2027 prospectus applies sightline and demonstration-location rules to inline booths. Islands have different access, setback, height, hanging-sign and rendering requirements. Confirm the assigned configuration and latest documents before design release.
Only after project availability and scope are confirmed and the exhibitor completes the current AACR and OCCC EAC requirements. For 2027, the official prospectus currently requires an EAC form and acceptable certificate of insurance by the stated deadline. Recheck the latest portal instructions before relying on that date.
Do not assume they are included. These services may be controlled by AACR, OCCC, Freeman or another authorized provider. The proposal and show-order log should state what King has accepted and what the exhibitor must order or pay separately.
The reserved footprint, structure, custom components, graphics, equipment integration, AV, freight, material handling, installation labor, storage and current official-service requirements all affect the project. Send the actual assignment and program so the quotation can define inclusions and exclusions.
Send the AACR booth assignment, size and configuration; event dates; target audience; product or service; approved content; equipment and demonstration requirements; meeting and storage needs; budget range; brand files; and internal decision dates. King Exhibits can then prepare a 3D direction and written scope for review.
Compare Footprints for Scientific Displays and Demonstrations
-
For one focused scientific proposition, a compact product display or a short staffed conversation.
-
For a wider inline program with a product comparison, compact demonstration or second specialist route.
-
For an open island direction with equipment, multiple approaches or scheduled discussions, subject to current show review.
-
For a larger scientific program that needs more separation between display, demonstration, meeting and support work.
