Give Us the Inputs That Control the Cleveland Booth

We review six items before the design and quotation move forward:

  • Show, venue and assigned booth location
  • Footprint, open sides and floor plan
  • Products, demonstrations and visitor actions
  • Brand files, graphics and screen conten
  • Budget range and target approval date
  • Freight, installation and dismantling scope

Build the Exhibit and Its Handoff Chain Together

Release the booth only after the plan, elevations, graphic dimensions and component list agree. Product fixtures, screens and customer-supplied equipment should appear on both the drawing and the packing record. A feature shown in the rendering but absent from the commercial list is not ready to ship.

Use the address, dates, labels and carrier instructions issued for the current event. Record the number of pieces, total weight, crate dimensions and shipment contact. Do not direct advance freight to the convention center or reuse labels from a previous Cleveland show.

Crate organization affects labor time and aisle control. Structural pieces needed first should be accessible without unloading graphics, furniture or finish components into the booth. Fasteners, tools and installation drawings should travel in a clearly identified location. Fragile branded surfaces need protection that can be restored for outbound freight.

  • Piece and crate identifiers
  • Packed dimensions and recorded weigh
  • Contents and opening sequence
  • Handling or orientation notes
  • Ownership and post-show destination
  • Missing-item escalation contac

A compact inline exhibit may use fewer cases, but every case still needs an owner and destination. A larger custom trade show exhibit in Cleveland may require separate loads for structure, graphics, audiovisual equipment and customer products. Those loads should share one arrival map even when they use different carriers.

Separate Facility Services from the Rental Scope

Separate Facility Services from the Rental Scope

Huntington Convention Center provides an exhibitor-service portal for electrical, plumbing, air, water, audiovisual, cleaning, internet, catering, sign hanging and rigging. The current event may also add its own contractor forms and deadlines.

Electrical and plumbing are provided exclusively by Edlen at the venue, while internet and telecommunications are exclusive center services. These orders should be mapped onto the booth drawing, but inclusion in a Cleveland trade show display rental depends on the accepted quotation. A design note is not proof that a service has been ordered or paid.

Decide What the Exhibitor Team Will Handle

The venue states that exhibitors may set up and dismantle their own booths when the work is performed by full-time employees of the exhibiting company, while specific union work rules should be confirmed with the GSC. Computer setup has its own venue guidance. Freight movement, utilities and other tasks follow separate boundaries.

Do not build the schedule around a general assumption that staff can perform every physical task. List the intended work, the person performing it and the rule that permits it. If a tool, ladder, powered connection, lift or specialist is required, route the task through the appropriate provider before move-in.

Approve the Booth at Each Transfer Poin

Approve the Booth at Each Transfer Poin

A useful approval process follows the movement of the exhibit:

  • Design to production: Approval evidence: Approved drawings, graphic list and commercial scope; Decision owner: Exhibitor and project lead
  • Production to carrier: Approval evidence: Packed-piece record, labels and pickup information; Decision owner: Production and freight contacts
  • Advance warehouse to venue: Approval evidence: Current show paperwork and target move-in record; Decision owner: GSC and freight contac
  • Booth to outbound carrier: Approval evidence: Dismantle instructions, labels and destination list; Decision owner: Floor lead and exhibitor

If the evidence is incomplete, hold the affected transfer rather than allowing the next team to discover the gap. This approach is more useful than a broad “turnkey” label because it shows what is ready, what is ordered and who takes control next.

Release the Cleveland Freight Chain

King Exhibits will use that record to develop the rental direction, graphic plan, packing logic and agreed delivery responsibilities for the Cleveland project.

  • Event, venue, booth number and current service manual
  • Booth dimensions, open sides and approved floor plan
  • Advance-warehouse address and receiving dates
  • Packed-piece estimate and customer-product shipments
  • Utility, internet, rigging and cleaning requirements
  • Installation tasks and intended providers
  • Outbound destination for every booth and product asse

Senzani — 20×30 Exhibit at PACK EXPO 2025

This completed project gives teams planning Cleveland a concrete reference for scale, product presentation and visitor access. The verified project record identifies Senzani, a 20×30 footprint and PACK EXPO 2025. A new booth for Cleveland would still be developed around the assigned space, products and event requirements. Use the example to discuss the design direction rather than as a local-project claim.

WHY KING EXHIBITS

Keep Design, Production and Field Scope Connected

Chinese exhibit designers reviewing an approved Cleveland booth direction with drawings and material samples
Chinese production team coordinating open-side booth production support and preassembly

For Cleveland, the approved design should stay connected to the pieces that are produced, packed and installed. King Exhibits has supported U.S. exhibit projects since 2008. Our Las Vegas-based production support connects 3D visualization with rental preparation, custom graphics, CNC work and wood fabrication. When the project scope calls for it, key components can be assembled and checked before packing. The production record carries the approved local freight, service and reuse decisions into packing and field instructions. Freight and the floor work accepted in the quotation then follow that written scope.

PROJECT PROCESS

How the Cleveland Booth Moves from Brief to Show Floor

Each stage turns customer information into a defined project output.

Confirm the Working Assignmen

You provide the event, assigned venue, booth location and floor plan, footprint, products, budget and deadline. We identify missing organizer and technical information. The output is one usable Cleveland project brief.

Turn the Brief into a Layou

We use the confirmed Cleveland operating brief to shape visitor flow, product placement, services and structure. You review the 3D direction and functional fit. The output is an approved layout basis.

Release the Agreed Production Scope

You approve dimensions, artwork and final product information. We carry the approved Cleveland freight and service assumptions into rental preparation, fabrication, graphics and packing. The output is a production record.

Carry the Record Through Move-In

You confirm the current organizer instructions, carrier plan and authorized floor contacts. We coordinate the freight and field work accepted for Cleveland. The output assigns installation, dismantling and outbound responsibilities before dispatch.

Can we ship advance freight directly to Huntington Convention Center?

No. The venue states that it does not accept advance materials or freight. Use the advance-warehouse instructions from the current show’s General Service Contractor, then follow the designated move-in process for delivery to the booth. King Exhibits uses the current Cleveland show, assigned space and visitor goal to turn that decision into a buildable exhibit plan.

Which Cleveland venue services require official providers?

At Huntington Convention Center, Edlen provides electrical and plumbing on an exclusive basis, and the venue’s IT department provides internet and telecommunications exclusively. Other services may use venue or show channels. Confirm the current portal, provider and deadline for every order. Use the current floor plan and organizer documents to confirm the second setting before the structure, shipment or service orders are released.

Can our employees install the booth?

The venue allows full-time employees of the exhibiting company to set up and dismantle their own booth, subject to the current event requirements and applicable union work rules. Share the planned tasks with the GSC before relying on self-installation, especially when tools, ladders, freight movement or specialist work are involved.

When should the outbound plan be approved?

Approve it before shipment to Cleveland. The file should identify which elements return to the rental provider, which belong to the exhibitor, where customer products go and who prepares the carrier paperwork. Keep labels and packing materials accessible through show close. King Exhibits uses the current Cleveland show, assigned space and visitor goal to turn that decision into a buildable exhibit plan.
